Policies
Admissions Policy
Exiar Language School Admissions Policy and Procedure.
To proceed with registration at a Exiar Language School program, Student must meet and agree to the following:

Minimum age to attend our adult group programs is 16 years old.

Underage applicants may require office approval, one of high school/home school approval letter with signature and parent/guardian approval letter with signature.

Read and agree to all of the policies, terms and conditions.

Submit their full legal name, nationality stated on passport, and accurate contact info.

Complete all required payments (i.e. tuition, registration fee, material fees …etc.) in full before the start of classes.
Students studying for under 6 months do not require a study permit to study at our school. However, depending on their country of origin, student may need to apply for a visitor visa prior to arriving in Canada. It is the student's responsibility to ensure the appropriate visa requirements to enter Canada for are met. See CIC Canada for full details to visit or study in Canada. www.cic.gc.ca/english/
Student will have a language placement test before their first day at school when applicable. The assessment is typically consisted of 3 testing areas - writing, listening, and reading. A speaking test may also be conducted when applicable. The purpose of this test is to assess the student's grammar knowledge, idiomatic usage, and reading abilities. Results will be used internally to suggest the most appropriate course or level that will best suit the student's language goals.
Refund Policy
Scenario
1) Student has completed payments
2) Student submits a notice of withdrawal from a student; or
3) Student submits an official refusal of international study permit; or
4) Exiar Language School issues a notice of dismissal to a student
Conditions
a. Admission requirements were not met; and
b. Have proven that no knowledge/skills/credentials were misrepresented at the time of registration
i) Any time within 7 calendar days since the application effective date, inclusive, and before the program start date
ii) More than 7 days after the application effective date, and at least 30 days before the program start date
iii) More than 7 days after the application effective date, and less than 30 days before the program start date
iv) After the program starts, and up to and including the date on which 10% of instruction hours have been provided, regardless attendance rate
v) After 11% and up to and including the date on which 29% of instruction hours have been provided, regardless attendance rate
vi) After the program starts, and 30% or more of the hours of instruction have been provided, regardless attendance rate
Refund Entitlement
100% tuition refund and 100% refund of all fees
i) 100% tuition refund only
ii) Exiar Language School may retain up to 10% of tuition, to a maximum of $800, whichever is less
iii) Exiar Language School may retain up to 20% of tuition, to a maximum of $1,000, whichever is less
iv) Exiar Language School may retain up to 30% of tuition
v) Exiar Language School may retain up to 50% of tuition
vi) Student is not eligible for refunds. Exiar Language School keeps all remaining tuition.
Dispute/Appeals
Dispute Resolution Policy and Procedure
This policy refers to complaints of serious to severe nature and applies to all current students at Exiar Language School. There is no fee associated with any parts throughout the dispute process at Exiar Language School. However, Exiar Language School will not be liable for legal expenses incurred by the student, should the complaint is processed or represented by a legal agent or lawyer. The policy governs complaints respecting Exiar Language School and any aspects of its operations. Exiar Language School makes every effort to assist students in resolving any significant disputes in just manner within a reasonable time frame. All staff of the School who deal with a complaint shall respect the student’s right to confidentiality.
Level 1:
Express your concerns directly to the individual or the department (i.e. coordinator, financial officer, teacher, classmates). Escalate to level 2 only if results are unsatisfactory.
Level 2:
Contact Program Coordinator of Exiar Language School regarding your concern. The Program Coordinator will review applicable policies and initiate and faciliate consultation sessions with all appropriate parties. Forward your complaint to the Director of Operations if the Program Coordinator is away or named in the complaint. Escalate to level 3 only if results are unsatisfactory
goals.
Level 3:
The Program Coordinator will relay the filed complaint to the Director of Operations for further investigations. Solutions, possible resolution, results will be issued within 4 weeks since filing the complaint. Escalate to Languages Canada in accordance with their dispute resolution policy if results remain unsatisfactory. (https://www.languagescanada.ca/en/)
Dismissal/Withdrawal
Exiar Language School Student Dismissal Policy
Exiar Language School reserves the right to terminate without refund the classes of any student whose conduct is clearly inappropriate. As such, a student at Exiar Language School may be dismissed for any of the following reasons:

Payments have not been paid in full and/or on-time.

Causes unbearable disturbances in class.
-
Commits a criminal offense, as defined by the Provincial Laws of British Columbia
-
Is abusive to staff, teachers or other students.
-
Is lewd, indecent, or displays obscene behaviour.
-
Is in possession of, or selling, dangerous drugs or restricted narcotics on school property.
-
Absent for a period longer than 3 lessons without notifying the school and providing a doctor’s note.
-
Steals, deliberately damages or misuses physical, electronic, intellectual or other intangible properties of Exiar Language School, including but not limited to vandalism, false accusation, altering School's records/documents, and hacking.

Deliberately supplies false/inaccurate information to the Exiar Language School and forges documents including but not limited to certificates, diploma, and all other identity or credential identification documents.
Procedure
The School will investigate all reported violations. A warning letter or notice of dismissal will be issued, depending on the nature and severity of the violation. Exiar Language School reserves the right to dismiss the Student from the School if the same behaviour continues after or during a probation period of 10 weeks. All refund policies are applicable to dismissed students.
Students may withdraw from their program with written notice of reason of withdrawal to the office, along with supporting documents including but not limited to official Visa denial documents from CIC. In the event where the student obtained a study permit through Exiar Language School, the office will inform Citizenship and Immigration Canada that a Letter of Acceptance was issued, and that the student has withdrawn from the program. It is on Student's onus to prove to relevant government officials that the Student has left Canada or may legally remain in Canada. Refer to the Refund Policy section for refund details.
Attendance/Vacation
Exiar Language School Attendance Policy
Student's attendance is crucial to efficiency of lessons, class progress and teacher's engagement level.
Students must maintain an attendance rate of 80%. Student may not be eligible for a Certificate of Completion if the cumulative absence rate over the entire program length exceeds or meets 20%. A Certificate of Completion for General English courses requires a passing grade on the final examination and minimum 150 hours of lessons at Exiar Language School.
Students has one absence credit that does not deduct paid tuition credit for every 4 weeks of study. After depleting the absence credit of the month, the scheduled lesson's tuition will be automatically deducted by the system. Absence credit is reset on the 1st day of every month. All tuition credits from valid absences will be accumulated and refunded upon withdrawal or completion of the the program.
For longer vacations, student must complete and submit a Vacation Request Form minimum two weeks prior to the desired breaks to the administrative office for approval. Student is eligible for a break longer or equivalent to 5 lessons after attending 8 of the 12 weeks of registered studies. All exceptions reported will be reviewed on a case-by-case basis and will only be in effect under the approval of the school's Directors or Principal, based on documented proof of medical, visa or extraordinary events.
Students who continuously violate the attendance policy will be subject to penalties including warning letter issuance, suspension, and/or dismissal.
Approval to Use Photos & Printed Material
Student is aware and agrees that Exiar Language School may take photograph or ask Students
for written statements during studies which may be used for promotional or marketing purposes in the
future. Student grants Exiar Language School, and its affiliates, the world-wide right to use Student's first/given name, country of origin,
photograph and written statements for any commercial use.
Student must contact the office if Student does not grant such permission to Exiar Language School.
Loss / Damage
Exiar Language School or its affiliates are not responsible for the loss or damage of any personal
belongings brought onto the premises or into accommodation; students are encouraged to have sufficient and applicable insurance coverage in the event of loss or damage and to ensure the safe-keeping of their belongings at all times.
